Note: In case of discrepancies between the French and English versions of this document, the French version shall prevail.
1. Purpose
This Privacy Policy explains how Quanta collects, uses, stores, retains and protects personal data in accordance with the Swiss Federal Act on Data Protection (FADP / LPD).
2. Data collected
Quanta may collect and process the following categories of data:
- Identification data: first name, last name, date of birth, address, email, phone number
- Administrative data: appointment booking, booking history, invoicing, administrative communications
- Session-related data: information shared voluntarily, case history, lifestyle-related information, session history and session notes
- Analysis data: electro-photonic imaging measurements and related analysis reports
- Technical data: IP address, browsing data, cookies, technical data related to the use of the website
Quanta only collects and processes data that is appropriate and necessary for the intended purposes.
3. Purposes of processing
Data is used in particular for:
- Appointment management,
- Client file management,
- Invoicing,
- Communication with the Client,
- Appointment confirmations and reminders,
- Announcing evenings, workshops and new articles, only to those who have asked for them,
- Administrative and organisational follow-up of sessions,
- Service improvement,
- Compliance with legal obligations,
- Protection of the legitimate rights of Quanta.
No data is sold to third parties.
4. Confidentiality and security
Quanta implements appropriate technical and organisational measures to protect data against:
- Unauthorised access,
- Loss,
- Alteration,
- Unauthorised disclosure,
- Any processing contrary to applicable law.
The relationship with the Client is confidential in nature. Information shared within the framework of sessions is handled with discretion.
Data is disclosed to third parties only to the extent necessary for the provision of services, the use of clearly identified services, with the consent of the data subject where required, or where disclosure is required by law.
5. Data retention
Data is retained for as long as necessary for the intended purposes and for the support relationship and, where applicable, for as long as required or justified by legal, administrative, accounting, evidentiary or rights-protection obligations applicable to Quanta.
6. Client rights
Under the FADP / LPD, the Client may, within the limits of applicable law, request:
- Access to their data,
- Correction of their data,
- Information about how their data is processed,
- Deletion of their data,
- Or restriction of its processing.
Requests may be sent by email to: privacy@quanta.ch
7. Subcontractors, tools used and hosting
Quanta may use third-party providers or external tools for certain activities necessary to its operations, including:
- Terap, for client file management, online appointment booking, invoicing and certain communications related to these activities,
- Microsoft Switzerland, for the web site hosting, email management and delivery, as well as SMS messages management and delivery,
- eCall (Switzerland) and Infobip (European Union), for sending SMS messages when either of them replaces or supplements Microsoft’s service,
- Technical services necessary for the hosting and operation of the website.
These providers or tools are involved only to the extent necessary for the performance of their respective functions and are selected with care.
When an SMS is sent through Infobip, the telephone number and the text of the message are processed in a Member State of the European Union, whose legislation provides, according to the Swiss Federal Council, an adequate level of protection.
8. Electronic communications
Quanta may use, as needed and unless the data subject indicates otherwise:
- Email,
- SMS,
- WhatsApp,
- And administrative tools related to these means of communication,
for confirmations, reminders, administrative, organisational or follow-up exchanges that do not require another communication channel.
Electronic communications involve residual risks in terms of confidentiality and security. The data subject may request at any time to limit or exclude certain communication channels, in particular through the “Announcements and news: manage my preferences” link at the foot of our emails.
Announcements and news
If you have asked for it, Quanta may write to you, by email or by SMS, to announce its upcoming evenings and workshops, or its new articles. Each topic and each channel is chosen separately, and nothing is sent without your consent. You may withdraw it at any time, through the “Announcements and news: manage my preferences” link at the foot of our emails or by writing to privacy@quanta.ch, without affecting the messages related to your bookings. Quanta keeps the date and the way in which you gave or withdrew your consent.
9. Cookies
The website may use cookies or similar technologies in order to improve user experience, the technical operation of the website and, where applicable, audience measurement.
Users may configure their browser to refuse or limit them.
Booking statistics
To understand how the booking form is used and at which step it is abandoned, the website records on its own statistics server (Matomo, self-hosted) the steps reached, such as “slot chosen” or “form sent”.
These records contain neither the person’s name, e-mail address or telephone number, nor the time of their appointment. The IP address appears only truncated, its last two bytes masked: enough to place a country, never to point at a device. They are linked to one another by a number drawn at random for each booking, which cannot recognise the person from one visit to the next. No cookie is set for this.
If the browser sends the Global Privacy Control signal, nothing is recorded.
10. Changes
Quanta reserves the right to amend this Privacy Policy at any time.
The applicable version is the one published on the website at the time of consultation.
